2. Scope of this Privacy Policy

This Privacy Policy describes how AYCC processes the personal data of users who visit the website or interact with AYCC through online forms, electronic communications, or pre-contractual and contractual relationships. This Privacy Policy does not govern the processing of personal data carried out by Customers within their own installations of AYCC products in Self-Hosted mode, for which Customers act as independent data controllers.

3. Categories of personal data processed

3.1 Data voluntarily provided by the user

AYCC may process the following personal data voluntarily provided by you:

  • first and last name (if provided);
  • email address;
  • any additional information entered in contact forms or support requests.

3.2 Technical and navigation data

While browsing the website, AYCC may process:

  • IP address;
  • technical information strictly necessary for the operation and security of the website.

AYCC does not collect telemetry data from products installed at Customers’ premises.

3.3 Analytics data

AYCC collects aggregated statistical data on website usage through analytics cookies, in order to monitor traffic and understand how users interact with the website (for example, pages visited or actions performed).

Such data does not allow direct identification of users and is not used for profiling anonymous users.

4. Purposes of processing and legal basis

Personal data is processed for the following purposes:

a) Contact and information requests

To respond to requests submitted through contact forms or direct communications.
Legal basis: performance of pre-contractual measures (Art. 6(1)(b) GDPR).

b) Contractual relationships

To manage relationships with Customers, partners, and suppliers.
Legal basis: performance of a contract or pre-contractual measures (Art. 6(1)(b) GDPR).

c) Legal and fiscal obligations

To comply with legal, accounting, and tax obligations.
Legal basis: compliance with a legal obligation (Art. 6(1)(c) GDPR).

d) Website security and proper functioning

To ensure website security, prevent abuse, and guarantee proper functioning.
Legal basis: legitimate interest of the Data Controller (Art. 6(1)(f) GDPR).

e) Statistical analysis

To analyze website usage in aggregated form and improve content and functionality.
Legal basis: user consent, expressed through the cookie banner.

f) Informational and promotional communications

To send updates and promotional communications only to users who have voluntarily provided their contact details and given explicit consent.
Legal basis: consent of the data subject (Art. 6(1)(a) GDPR).

AYCC does not carry out profiling or behavioral tracking activities on anonymous website users.
Any marketing or remarketing activities are carried out exclusively with respect to identified users who have given their consent.

5. Nature of data provision

Providing data for contact, contractual, and security purposes is necessary. Failure to provide such data may prevent AYCC from delivering the requested services. Providing data for marketing purposes is optional and refusal does not affect access to services.

Personal data is retained for a maximum period of 6 months, unless:

  • a longer retention period is required by law; or
  • data is necessary to establish, exercise, or defend legal claims.

Data processed for accounting and tax purposes is retained for the period required by applicable law.

  • authorized personnel of AYCC;
  • service providers acting as data processors (hosting, email, CRM, communication tools), bound by contractual confidentiality and data protection obligations;
  • competent authorities, where required by law.

AYCC does not sell or transfer personal data to third parties for commercial purposes.

Where personal data is transferred outside the European Union, AYCC ensures that appropriate safeguards are in place, including adequacy decisions or Standard Contractual Clauses approved by the European Commission.
